Controlling which features users can access in your organisation

Getting Started

Restrictions allow you to control which features are available to users in your organisation. This helps you manage access based on your organisational policies and role requirements.

Available Restrictions

talentATS currently supports the following restrictions:

Vacancy Management

Create, Edit, and Archive Vacancies

  • Restricts user ability to create new vacancies

  • Restricts editing existing vacancies

  • Restricts archiving vacancies

  • When restricted: Users with this restriction cannot create or manage vacancies

Reporting and Analytics

Vacancy Statistics

  • Restricts access to vacancy performance statistics

  • Restricts viewing vacancy stats tab

  • When restricted: Users cannot view detailed vacancy analytics and metrics

  • Related to: Vacancy Stats reports available from vacancy flyout

Accessing Restrictions

To manage restrictions for your organisation:

  1. Go to Settings > Access Management > Restrictions

  2. You'll see a list of available restrictions

  3. Enable or disable as needed for specific roles

  4. Changes take effect immediately

How Restrictions Work

Applied by Role

Restrictions are configured per role, meaning:

  • Organisation Admin – Typically no restrictions

  • Recruiter – Restrictions configured as needed

  • Team Lead – Team-specific restrictions may apply

  • Hiring Manager – May have more restrictions for safety

Configuration

For each restriction:

  • Enabled – Users with that role cannot access the feature

  • Disabled – Users with that role can access the feature

Enable restrictions only for roles that shouldn't have access.

Common Use Cases

Protecting Vacancy Management

If you want to prevent accidental vacancy deletions:

  • Enable "Create, Edit, Archive Vacancies" restriction for non-admin roles

  • Only Admins and specific Recruiters can manage vacancies

  • Reduces risk of data loss

Limiting Analytics Access

If you want to restrict visibility of performance data:

  • Enable "Vacancy Statistics" restriction for Hiring Managers

  • Only Recruiters and Admins see detailed analytics

  • Maintains confidentiality of recruitment metrics

Role-Based Control

Different roles need different access:

  • Recruiters – Full access to create and manage vacancies

  • Hiring Managers – May be restricted from creating vacancies but can view stats

  • Team Leads – Team-level restrictions on management features

  • Admins – Typically unrestricted

Troubleshooting

Users can't access a feature:

  • Check if restriction is enabled for their role

  • Verify their role assignment

  • Update or remove restriction if needed

  • Ask user to refresh/re-login

A restriction doesn't seem to be working:

  • Verify the restriction is enabled in settings

  • Check user's role is correct

  • Confirm user has re-logged in since change

  • Try disabling and re-enabling the restriction

I need to change restrictions:

  • Go to Settings > Restrictions

  • Enable/disable as needed

  • Save changes

  • Changes apply immediately to new sessions

I accidentally over-restricted users:

  • Go to Settings > Restrictions

  • Disable unnecessary restrictions

  • Users regain access after re-login

  • Communicate the change to affected users

I'm not sure which restrictions to enable:

  • Review each restriction's description

  • Consider your team's actual needs

  • Start with no restrictions

  • Add only when necessary

  • Contact support for guidance

Users are confused about restrictions:

  • Explain the business reason for each restriction

  • Document your restriction policy

  • Provide examples of what they can and cannot do

  • Offer training or support as needed
