Getting Started

Privacy policy configuration is important for compliance and transparency. This guide explains how to set up and manage privacy policy links on your careers page.

Why Privacy Policy Matters

A privacy policy is required because:

  • Legal Compliance - Many jurisdictions require privacy policies

  • GDPR Compliance - Essential for European candidates

  • Transparency - Shows candidates how you handle their data

  • Trust - Demonstrates your commitment to data protection

Accessing Privacy Policy Settings

To configure your privacy policy:

  1. Navigate to Settings > Career Page

  2. Find the Privacy Policy URL field

  3. Enter your privacy policy link

  4. Save your changes

Setting Up Your Privacy Policy URL

Step 1: Have a Privacy Policy

Before configuring the URL, ensure you have:

  • A privacy policy document or page

  • It's hosted and accessible online

  • It covers data collection and usage

  • It's up to date with current practices

Step 2: Enter the URL

In the Privacy Policy URL field:

  1. Enter the full URL to your privacy policy

  2. Include https:// or http://

  3. Use the complete path to the page

  4. Example: https://yourcompany.com/privacy-policy

Step 3: Verify the Link

After entering the URL:

  1. Click the link to verify it works

  2. Ensure it opens in a new tab/window

  3. Check that the page is accessible

  4. Confirm it's the correct privacy policy

Default Privacy Policy

If you don't set a custom URL:

  • talentATS may provide a default privacy policy link

  • This covers basic data handling

  • You should still provide your own for full compliance

  • Check what the default covers

Where Privacy Policy Appears

Your privacy policy link typically appears:

  • On application forms

  • In footer of careers page

  • During the application process

  • In candidate communications (if configured)

Your privacy policy should cover:

  • Industry-specific regulations

  • Data protection laws

  • Keep it comprehensive but readable

Accessibility

  • Make it easy to find

  • Link from multiple places

  • Ensure it's mobile-friendly

  • Keep the link working

Updates

  • Review regularly

  • Update when practices change

  • Keep version history

  • Date your policy

Troubleshooting

My privacy policy link doesn't work:

  • Verify the URL is correct

  • Check that the page is accessible

  • Ensure it includes http:// or https://

  • Test the link in a browser

I don't have a privacy policy yet:

  • Create one using a template

  • Consult with legal counsel

  • Use privacy policy generators

  • Ensure it covers all requirements

The link opens but shows wrong content:

  • Verify you're using the correct URL

  • Check that the page hasn't moved

  • Update the URL if needed

  • Clear browser cache

I need to change my privacy policy URL:

  • Update the URL in Career Page settings

  • Verify the new link works

  • Test on your careers page

  • Update any other references

Tips

  • Keep It Current - Regularly review and update

  • Make It Accessible - Easy to find and read

  • Be Transparent - Clear about data practices

  • Seek Legal Advice - Consult professionals for compliance

  • Test Regularly - Ensure links always work
