How to schedule jobs to publish and close at specific dates

Getting Started

You can schedule your job vacancies to publish automatically at a future date and set a closing date for when applications will stop being accepted. This is useful when you want to prepare postings in advance, coordinate publication timing, or manage application deadlines.

Accessing Schedule Settings

When creating or editing a vacancy:

  1. Navigate to the Vacancy Information step

  2. Scroll to the Optional: Publish & Close Dates section

  3. You'll see two options:

    • Set Publish Date? - Schedule when the vacancy publishes

    • Set Close Date? - Schedule when applications close

Setting a Publication Date

Step 1: Enable Publication Scheduling

  1. Find the Set Publish Date? checkbox

  2. Check the checkbox to enable scheduling

  3. A date picker will appear (defaults to today's date)

Step 2: Select Publication Date

  1. Click on the date field

  2. Choose your desired publication date

  3. The date must be in the future

  4. Review your selection

Step 3: Save Schedule

  1. Review your selected date

  2. Ensure it's in the future

  3. Save your vacancy

  4. Publication scheduling is now active

Setting a Closing Date

Step 1: Enable Closing Date

  1. Find the Set Close Date? checkbox

  2. Check the checkbox to enable closing date

  3. A date picker will appear (defaults to 4 weeks from today)

Step 2: Select Closing Date

  1. Click on the date field

  2. Choose when you want applications to close

  3. The date should be after your publication date

  4. Review your selection

Step 3: Save Closing Date

  1. Review your selected date

  2. Ensure it's appropriate for your recruitment timeline

  3. Save your vacancy

  4. Closing date scheduling is now active

How Publication Scheduling Works

Before Publication Date

While scheduled:

  • Vacancy is saved but not published

  • Not visible on job boards

  • Not accessible to candidates

  • Can be edited freely

  • All details can be modified

On Publication Date

When the date arrives:

  • Vacancy publishes automatically

  • Appears on selected job boards

  • Becomes visible to candidates

  • Applications can be received

  • Vacancy status changes to "Live"

After Publication

Once published:

  • Vacancy is live and active

  • Normal vacancy management applies

  • Can be edited or removed

  • Applications are received normally

  • Closing date countdown begins (if set)

How Closing Date Scheduling Works

Before Closing Date

While open:

  • Vacancy accepts applications normally

  • Visible on all selected job boards

  • Candidates can apply freely

  • Normal recruitment process continues

On Closing Date

When the closing date arrives:

  • Applications close automatically

  • Vacancy may be removed from job boards

  • No new applications are accepted

  • Existing applications remain accessible

  • You can still review and process existing applications

After Closing Date

Once closed:

  • Vacancy no longer accepts new applications

  • May be hidden from job boards

  • Can still view and manage existing applications

  • Can extend the closing date if needed

  • Vacancy can be reopened manually

Best Practices

Publication Timing Considerations

Choose Optimal Times:

  • Monday mornings (high job search activity)

  • Avoid weekends (lower engagement)

  • Consider time zones

  • Match your industry patterns

  • Coordinate with marketing campaigns

Closing Date Considerations

Set Appropriate Deadlines:

  • Allow enough time for quality applications

  • Factor in review and interview time needed

  • Consider hiring urgency

  • Plan for the full recruitment process

  • Set realistic expectations for candidates

Editing Scheduled Vacancies

Before Publication

You can:

  • Change the publication date

  • Modify the closing date

  • Update vacancy details

  • Update destinations

  • Cancel either schedule independently

Changing Publication Date

  1. Open the scheduled vacancy

  2. Go to edit mode

  3. Find the Set Publish Date? option

  4. Update the date

  5. Save changes

Changing Closing Date

  1. Open the vacancy

  2. Go to edit mode

  3. Find the Set Close Date? option

  4. Update the date

  5. Save changes

Cancelling Publication Schedule

To publish immediately:

  1. Open the vacancy

  2. Uncheck the Set Publish Date? checkbox

  3. Save changes

  4. Vacancy may publish immediately (check settings)

Cancelling Closing Date

To remove closing date:

  1. Open the vacancy

  2. Uncheck the Set Close Date? checkbox

  3. Save changes

  4. Vacancy will remain open indefinitely (until manually closed)

Limitations

What You Can't Do

  • Schedule publication in the past (must be future date)

  • Set closing date before publication date (should be after)

  • Change package after scheduling (may be locked)

  • Some settings may be locked after scheduling

Troubleshooting

Vacancy didn't publish on schedule:

  • Check system was running

  • Verify date was correct

  • Check for error messages

  • Contact support if issues persist

Vacancy didn't close on schedule:

  • Verify closing date was set correctly

  • Check that date has passed

  • Review vacancy status

  • Contact support if issues persist

I need to change the publication schedule:

  • Edit the vacancy

  • Update the publication date

  • Save changes

  • New schedule takes effect

I need to change the closing date:

  • Edit the vacancy

  • Update the closing date

  • Save changes

  • New closing date takes effect

I want to publish immediately:

  • Uncheck the Set Publish Date? checkbox

  • Save changes

  • Vacancy should publish immediately

I want to remove the closing date:

  • Uncheck the Set Close Date? checkbox

  • Save changes

  • Vacancy will remain open

Can I set closing date without publication date?

  • Yes, you can set either date independently

  • Closing date will apply when vacancy is published

  • Publication can happen immediately or be scheduled separately

Can I schedule multiple vacancies?

  • Yes, schedule as many as needed

  • Each has its own publication and closing dates

  • Manage individually

  • No limit on scheduled vacancies
