You can save time by using previous job postings as a starting point for new vacancies. This guide explains how to copy and reuse previous vacancies.

Why Copy Previous Vacancies?

Copying previous vacancies helps you:

  • Save Time - Don't recreate from scratch

  • Maintain Consistency - Use proven formats

  • Preserve Structure - Keep good organisation

  • Quick Setup - Get started faster

Accessing Previous Vacancies

During Vacancy Creation

When creating a new vacancy:

  1. Navigate to Select Type step

  2. Choose Use Previous Job option

  3. A search box appears

  4. Search for previous vacancies

Finding Previous Vacancies

You can search by:

  • Job Title - Search by title keywords

  • Reference Number - Find by reference

  • Any Text - Search in descriptions

Copying a Vacancy

Step 1: Select Previous Vacancy

  1. Enter search terms

  2. Browse results

  3. Click on the vacancy you want

  4. It's selected as template

Step 2: Review Copied Information

The system copies:

  • Job description

  • Location details

  • Employment type and hours

  • Salary information

  • Screening questions (if any)

  • Other vacancy details

Step 3: Edit as Needed

  1. Review all copied information

  2. Update what's changed

  3. Modify for new role

  4. Customise as required

Step 4: Complete Vacancy

  1. Make necessary changes

  2. Update job-specific details

  3. Review all information

  4. Publish when ready

What Gets Copied

Typically Copied

  • Job description

  • Location information

  • Employment details

  • Salary information

  • Benefits

  • Screening questions

  • Workflow selection

Not Copied

  • Reference number (you create new one)

  • Publication destinations (you select new)

  • Application data (stays with original)

  • Candidate information

Troubleshooting

I can't find the vacancy I want:

  • Try different search terms

  • Search by reference number

  • Check archived vacancies

  • Verify vacancy still exists

Copied information is outdated:

  • Update all details

  • Review thoroughly

  • Modify as needed

  • Ensure accuracy

Some information didn't copy:

  • Some fields may not copy

  • Fill in manually

  • Check all sections

  • Complete as needed

Can I copy from archived vacancies?

  • Yes, if they appear in search

  • Archived vacancies can be used

  • Same copying process

  • Update as needed
