Performing actions on multiple candidates at once

Getting Started

talentATS currently supports limited bulk actions to ensure careful candidate management. These actions allow you to perform the same operation on multiple candidates simultaneously.

Accessing Bulk Actions

To use bulk actions:

  1. Navigate to the candidate list for a vacancy

  2. Select multiple candidates using the checkboxes

  3. Bulk action options will appear

  4. Choose your desired action

Selecting Candidates

Individual Selection

To select specific candidates:

  1. Check the box next to each candidate name

  2. Selected candidates are highlighted

  3. A counter shows how many candidates are selected

  4. You can select and deselect as needed

Checking Selection

Before performing any action:

  • Review the list of selected candidates

  • Verify you've selected the correct people

  • Double-check before confirming

  • Especially important for permanent actions

Available Bulk Actions

Export to Email

Send selected candidates to an email address:

  1. Select candidates

  2. Choose "Export to Email"

  3. Enter recipient email address

  4. Candidates are exported and sent

This is useful for sharing candidate information with team members or external stakeholders.

Export to Webhook

Send selected candidate data to a connected webhook:

  1. Select candidates

  2. Choose "Export to Webhook" (if webhooks are configured)

  3. Data is sent to your configured endpoint

  4. Integration processes the data

This requires webhook configuration by your organisation admin.

Best Practices

When to Use Bulk Actions

Use bulk actions for:

  • Sharing candidates with team members via email

  • Integrating data with external systems via webhooks

  • Streamlining workflows where multiple candidates need the same action

Be Careful

When using bulk actions:

  • Review selection carefully – Ensure you've selected the right candidates

  • Verify action – Confirm what will happen

  • Check recipient – For email exports, verify the email address

  • Test with small groups – Try with a few candidates first

Limitations

Current bulk actions do NOT include:

  • Moving multiple candidates to a stage at once (use individual stage changes)

  • Sending messages to multiple candidates at once (send individually)

  • Mass rejection (reject individually)

  • Archive operations (archive individually)

These actions are intentionally limited to prevent accidental bulk changes to candidate status. Each candidate's progression through your pipeline should be carefully considered.

Troubleshooting

Bulk actions aren't appearing:

  • Check that you have multiple candidates selected

  • Verify at least 2 candidates are selected

  • Look for the action menu above the candidate list

  • Refresh the page if needed

Export failed:

  • Verify the email address is correct (for email export)

  • Check that webhooks are properly configured (for webhook export)

  • Ensure good internet connection

  • Try exporting fewer candidates at once

  • Contact support if issues persist

I selected the wrong candidates:

  • Deselect the checkboxes to clear selection

  • Start over with correct candidates

  • Use search or filters to narrow down first

  • Select more carefully before confirming

I want to move candidates to a new stage:

  • Currently, stage changes must be done individually

  • Open each candidate and change their stage manually

  • This ensures careful consideration of each candidate's progression

  • Contact support if you'd like to request this feature
