Getting Started

With talentATS, you can create sub-organisations (child organisations) under your main organisation. This allows you to manage multiple entities or departments within a hierarchical structure while maintaining central oversight.

Understanding Sub-Organisations

Parent Organisation

The parent organisation is:

  • Your main organisation

  • Top-level in the hierarchy

  • Can manage child organisations

  • Has administrative oversight

Child Organisations

Child organisations are:

  • Sub-organisations under parent

  • Can operate semi-independently

  • Share certain parent settings

  • Maintain their own user management

Hierarchy Benefits

Multi-level organisation structure allows you to:

  • Manage multiple offices or divisions

  • Maintain separate teams and users per location

  • Consolidate reporting and analytics

  • Share resources across entities

  • Maintain clear organisational structure

Creating Sub-Organisations

Step 1: Access Sub-Organisation Management

  1. Go to Settings > Access Management > Organisation

  2. Look for the Organisation you wish to create a Sub-Organisation

  3. Click the + icon to create the Sub-Organisation

  4. Give the new Sub-Organisation a name and click Create

Step 2: Enter Details

Provide information for the new sub-organisation:

  • Organisation name – Name of the sub-organisation

  • Employee Size - The number of employees at the sub-organisation

  • Website URL – Organisation website

  • Company LinkedIn URL – Public LinkedIn url of the sub-organisation

  • About The Company - 8000 characters max

  • Company Logo - png or jpg/jpeg format

Step 3: Configure Settings

Configure initial settings:

  • Administrator – Assign initial admin for the sub-organisation

  • Access level – Set initial permissions

  • Features – Enable/disable features as needed

Managing Sub-Organisations

  3. See relationships and structure

To update a sub-organisation:

  1. Find and click on the sub-organisation in your list

  2. Update details as needed

  3. Click Save

Adding Users to Sub-Organisations

Each sub-organisation has its own users:

  1. Settings > Access Management > Users

  2. Click in to the relevant sub-organisation

  3. Invite users specific to that sub-organisation (see Managing Users & Teams guide)

  4. Users have access only to their organisation

Managing Teams in Sub-Organisations

Each sub-organisation can have its own teams:

  1. Settings > Access Management > Teams

  2. Click in to the relevant sub-organisation

  3. Create teams within that sub-organisation (see Managing Users & Teams guide)

  4. Assign users to teams

Removing Sub-Organisations

To delete a sub-organisation:

  1. Ensure users are reassigned

  2. Move any required data

  3. Go to sub-organisation settings

  4. Click Delete or Archive

  5. Confirm action

Important: Archived organisations typically preserve data for historical purposes.

Hierarchy Structure

Single Level (Common)

Parent → Child

Example:

  • Head Office (Parent)

    • London Office (Child)

    • Manchester Office (Child)

    • Leeds Office (Child)

Multi-Level (Advanced)

Parent → Child → Grandchild

Example:

  • Headquarters (Parent)

    • European Division (Child)

      • UK Office (Grandchild)

      • Germany Office (Grandchild)

Data Sharing and Access

What's Separate

Each sub-organisation typically has:

  • Separate user lists

  • Separate vacancies and candidates

  • Separate teams and permissions

  • Independent data storage

What May Be Shared

Depending on configuration:

  • Aggregate reporting (parent can see all)

  • Shared resources or settings

  • Consolidated billing (if configured)

  • Shared workflows or templates

Clarifying Data Isolation

If unclear about data sharing:

  • Check your configuration

  • Ask your organisation administrator

  • Review specific settings

  • Contact support for clarification

Troubleshooting

I can't create sub-organisations:

  • Verify you have Organisation Admin role

  • Check your plan includes this feature

  • Ensure parent organisation is set correctly

  • Contact support if issues persist

I can't see the hierarchy:

  • Check if sub-organisations have been created

  • Verify your permissions

  • Look for Organisation Tree or Hierarchy option

  • Try refreshing page

Users can't access their sub-organisation:

  • Verify user is assigned to organisation

  • Check their role permissions

  • Review organisation restrictions

  • Update assignment if needed

Data seems to be in wrong organisation:

  • Verify organisation assignment

  • Check user's access level

  • Review data ownership

  • Contact support for data movement

I need to move users between organisations:

  • Update organisation assignment

  • Update team assignments

  • Save changes

  • Verify access

Structure doesn't match our company:

  • Review current hierarchy

  • Plan new structure

  • Create/delete organisations as needed

  • Reassign users accordingly

  • Contact support for complex changes
